TOM Group has circulated a Reply Form dated 2 April 2026 that reshapes how registered shareholders receive future “Actionable Corporate Communications” and related documents.
The form outlines three mutually exclusive options:
1. Electronic Delivery via QR Code • Shareholders scan a personalised QR code to submit an email address for all forthcoming actionable and general corporate communications. • No physical return of the form is required under this option.
2. Electronic Delivery via Written Email Entry • Shareholders may manually record an email address on the form for electronic dissemination. • If more than one email is supplied—whether through this form or any other channel—only the most recently received address will be registered.
3. Printed Copies on Request • Shareholders selecting this box will receive English, Chinese or bilingual hard-copy communications for up to one year or until the instruction is revoked or superseded. • This preference overrides any email address previously supplied.
Additional Provisions • If the email address provided is non-functional, TOM Group will default to sending printed documents accompanied by a fresh request for a valid email. • A security-information letter confirming email registration will be mailed to the shareholder’s registered address. • Completed forms are returned postage-free within Hong Kong by attaching the enclosed mailing label. • Personal data supplied will be used solely for communication-delivery purposes and may be shared with the share registrar, agents or contractors as legally required.
The initiative aims to streamline shareholder communication, optimise environmental efficiency and maintain regulatory compliance.
